Ask three Microsoft partners what a Dynamics 365 implementation costs and you get three versions of “it depends.” That is a true answer. It is also useless when you are trying to put a number in next year’s budget.

So here are real ranges. Not list price theater, not a lead magnet with the numbers behind a form. These are the bands TruNova has actually scoped and delivered work in, organized by the scenario you are in rather than the product you happened to hear about.

How much does a Dynamics 365 implementation cost?

Most Dynamics 365 implementations land between $25,000 and $750,000. A standard CRM rollout starts near $25,000. A distribution company implementing Business Central typically lands between $50,000 and $75,000. A multi-entity Finance program runs past $750,000. Scope drives the number far more than the product name does.

That last sentence is the whole article, so it is worth slowing down on. A company asking about Business Central and a company asking about Business Central with three warehouses, an EDI feed, and a Shopify integration are asking two different questions. The software is the same. The project is not.

The three costs people mix up

Almost every confused budget conversation comes from stacking three separate things into one number.

  • Licenses. What you pay Microsoft every month, per user, forever. Published, predictable, easy to model.

  • Implementation. What you pay a partner once to configure the system, move your data, integrate your other systems, and train your team. This is the number that varies, and it is what the ranges below cover.

  • Ongoing. Support, enhancements, and any third-party add-ons you subscribe to after go live.

When a partner quotes you $60,000 and a software page says $80 per user per month, those are not competing numbers. They are two different line items in the same budget.

These are Microsoft’s published list prices in USD, per user per month, on an annual commitment. Verified September 7, 2026. Nonprofit, education, and volume agreements can change what you actually pay.

$1,700 per tenant/month

Customer Insights

Attach, with 10 or more qualifying users

$1,000 per tenant/month

Two things people miss here. Team Members licenses at $8 cover read access and light entry, so a warehouse of forty people checking inventory does not need forty full licenses. And Customer Insights is priced per tenant, not per user, which changes the math entirely if you have a large marketing team and a small contact database, or the reverse.

Business Central implementation cost

Business Central is the ERP most companies between $5M and $250M in revenue end up in. Implementation cost tracks the operational model, not the headcount.

Scenario

Typical scope

Range

Light distribution

General ledger, sales order processing, purchase order processing, light inventory

$50,000 to $75,000

Distribution, expanded

Adds custom reporting, warehousing, or integrations such as e-commerce, EDI, and payment processors

$75,000 to $200,000

Manufacturing, base

Production orders, bills of material, routings, standard costing

$100,000 to $150,000

Manufacturing, expanded

Adds advanced scheduling, quality management, or multiple plants

$150,000 to $350,000 and up

Professional services

GL, AP and AR, time and expense, resource management, project invoicing on time and materials or fixed price

$60,000 to $90,000

Project-based work

Adds job costing, budgets against actuals, WIP, multiple job types, and resource capacity planning

$90,000 to $180,000

What moves a Business Central number

  • How many companies or legal entities live in the tenant

  • Integrations: e-commerce, EDI, payment processors, third-party warehouse systems

  • Data migration complexity, and how much transaction history you insist on bringing over

  • Job costing and WIP calculation complexity, and the number of job or project types

  • Configuration against custom development, which is the single biggest swing factor

  • User count, and the training footprint that comes with it

Dynamics 365 Finance implementation cost

Dynamics 365 Finance is the enterprise tier. Companies land here when Business Central genuinely cannot carry the load: many legal entities, multiple countries, real regulatory reporting. It costs roughly three times a comparable Business Central project because the work is genuinely three times larger.

Scenario

Typical scope

Range

Single entity

General ledger, AP and AR, fixed assets, budgeting

$150,000 to $250,000

Multi-entity

Adds intercompany transactions, multi-currency, consolidations

$250,000 to $450,000

Finance and supply chain

Adds procurement, inventory, warehousing, production

$400,000 to $750,000

Enterprise, multi-country

Adds regulatory reporting, tax engine complexity, heavy integrations

$750,000 and up

What moves a Finance number

  • Number of legal entities and countries in scope

  • Chart of accounts and dimension complexity

  • Data volume and migration source, whether that is SAP, Oracle, or a legacy Dynamics AX or F&O install

  • Integration count and depth: banking, tax engines, EDI

  • Industry-specific compliance or regulatory reporting

Dynamics 365 Sales implementation cost

Dynamics 365 Sales is where the widest gap sits between what a project could cost and what it should cost. A standard Sales Hub rollout is a genuinely small project. Most of the money in this category is spent recreating a bespoke sales process that nobody has ever questioned.

Scenario

Typical scope

Range

Standard Sales Hub

Out-of-the-box entities, standard forms and fields, standard pipeline stages, standard dashboards

$25,000 to $40,000

Configured Sales Hub

Custom fields and forms on lead, opportunity, account, and contact, plus tailored business process flows

$40,000 to $75,000

Complex custom Sales

Multiple custom entities, complex process automation, custom qualification or scoring, embedded analytics

$75,000 to $150,000

Heavily customized or integrated

Extensive custom entity model, deep workflow automation, real-time integration to ERP, portal exposure

$150,000 to $250,000 and up

What moves a Sales number

  • Custom fields, forms, and entities beyond the standard model

  • Number of business process flows and pipeline stages

  • Automation depth: Power Automate flows, plugins, custom logic

  • Integration with Business Central, Finance, or a third-party ERP

  • Data migration volume out of a legacy CRM

Dynamics 365 Customer Service implementation cost

Dynamics 365 Customer Service is priced by how many channels you support and how complicated your promises are. Case management on its own is a small project. Voice, chat, and social feeding one queue is not.

Scenario

Typical scope

Range

Core Customer Service

Case management, queues, standard SLAs, knowledge base

$25,000 to $40,000

Omnichannel

Adds chat, voice, or social channels into one queue

$40,000 to $100,000

Advanced service operations

Adds unified routing, Customer Service Insights, Copilot-assisted service

$75,000 to $150,000

Enterprise, integrated

Multiple business units, complex SLAs, ERP-integrated case data

$150,000 to $250,000 and up

What moves a Customer Service number

  • Number of channels in scope: email, chat, voice, social

  • Complexity of SLA and entitlement rules

  • Routing logic, from basic queues up to unified and skills-based routing

  • Knowledge base migration and article volume

  • Integration with an ERP for order and account data

Dynamics 365 Project Operations implementation cost

Project Operations is for services businesses that quote, staff, deliver, and invoice the same work. The price is driven by how many ways you bill.

Scenario

Typical scope

Range

Core Project Operations

Project contracts, time and expense entry, basic resource assignment

$40,000 to $75,000

Resource-driven

Adds resource scheduling and optimization, utilization reporting

$75,000 to $150,000

Complex billing

Adds revenue recognition, multi-currency contracts, mixed time and materials, fixed price, and milestone billing

$150,000 to $250,000

Enterprise

Multiple business units, complex work breakdown structures, integrated with Finance and supply chain

$250,000 and up

What moves a Project Operations number

  • Number of contract and billing types in use: time and materials, fixed price, milestone

  • Depth of resource scheduling and utilization reporting required

  • Integration with Finance for project accounting and revenue recognition

  • Number of business units and currencies

  • Data migration from a legacy PSA tool or from spreadsheets

Dynamics 365 Customer Insights implementation cost

Customer Insights projects are priced by data, not by email volume. Merging customer records from five source systems is the work. Sending the campaign is the easy part.

Scenario

Typical scope

Range

Core Journeys

Email journeys, segments, forms, basic lead scoring

$25,000 to $45,000

Unified customer profile

Adds Customer Insights Data to merge profiles from multiple source systems

$50,000 to $100,000

Multi-channel orchestration

Adds real-time journeys, SMS or push, personalization at scale

$100,000 to $175,000

Enterprise customer data platform

Full CDP across many source systems with AI-driven segmentation

$175,000 and up

What moves a Customer Insights number

  • Number of source systems feeding the unified customer profile

  • Volume and cleanliness of existing contact and behavioral data

  • Number of channels orchestrated: email, SMS, push, in-app

  • Personalization and AI segmentation depth

  • Integration with Sales or Customer Service for closed-loop reporting

The five things that actually move the number

Across every application above, the same five factors decide where in a range you land.

  1. Configuration against custom code. Configuring what the product already does is fast. Building what it does not do is a software project with a software project’s cost curve.

  2. Integrations. Every system that has to exchange data with the new one is its own small project, with its own testing.

  3. Data migration. The cost is not the volume. It is the cleanliness, and how many years of history you decide you cannot live without.

  4. Entities and currencies. One company in one country is a straight line. Six entities across three countries is a different project.

  5. Your team’s availability. The cheapest projects are the ones where someone internal owns the decisions. The expensive ones are where every question waits two weeks.

How to get a number for your own business

If you are still deciding which applications you need in the first place, start with the Dynamics 365 buyer’s guide. If you already know, find the row above that matches how you actually operate, not the software you were told to look at. Read the range. Then check yourself against the cost drivers underneath it: for every one that applies to you, move toward the top of the band.

That gives you a planning number, which is what a budget needs. It does not give you a quote, which is what a signature needs. A number without a scope attached is a guess wearing a suit.

Frequently asked questions

How much does a Dynamics 365 implementation cost?

Most Dynamics 365 implementations cost between $25,000 and $750,000. A standard Sales or Customer Service rollout starts near $25,000. Business Central for a distribution company usually runs $50,000 to $75,000. Dynamics 365 Finance for a single entity starts near $150,000 and multi-country programs pass $750,000.

How much does Business Central cost to implement?

Business Central implementations typically run $50,000 to $200,000 for distribution, $100,000 to $350,000 for manufacturing, and $60,000 to $180,000 for professional services and project-based businesses. Licenses are separate, at $80 per user per month for Essentials and $110 for Premium.

What is the difference between license cost and implementation cost?

License cost is the recurring subscription you pay Microsoft for each user, every month. Implementation cost is the one-time fee you pay a partner to configure the system, migrate your data, build integrations, and train your team. They are separate line items and neither one includes the other.

Is Business Central cheaper than Dynamics 365 Finance?

Yes, on both lines. Business Central licenses run $80 to $110 per user per month against $210 to $300 for Finance, and a Business Central implementation typically costs a third of a comparable Finance project. Finance earns its price when you have many legal entities, multiple countries, or heavy regulatory reporting.

Why do quotes from different partners vary so much?

Usually because they scoped different projects. One partner assumed a standard configuration, another assumed custom development, and a third quoted only phase one. Before comparing two numbers, compare what each one includes: entities, integrations, years of data migrated, and training.

Do these ranges include Microsoft licenses?

No. Every implementation range on this page is partner services only. Add license cost separately, using the per user per month prices in the license table above, and remember that Team Members licenses at $8 per user per month cover read-only and light-entry users.

What ongoing costs should I plan for after go live?

Three of them: your monthly Microsoft licenses, any third-party add-on subscriptions your build depends on, and a support or enhancement arrangement with your partner. Ask any partner to price all three before you sign, not after.

What pushes an implementation cost up the fastest?

Custom development, integration count, and data migration, in that order. Rebuilding a process the product already handles is the most expensive decision available in this category, and it is usually made in the first two weeks.

Can I implement Dynamics 365 without a partner?

A single-user Business Central setup or a standard Sales Hub is technically achievable in-house. Anything involving multiple entities, integrations, migrated history, or costing methods is not, and rescuing a self-implementation typically costs more than the original project would have.

How do I get an accurate estimate for my project?

You need a scoping conversation that covers your entities, your integrations, your data, and how you actually bill. It takes about an hour and it produces a real number instead of a range.
